Be prepared for workplace pension schemes

It is now compulsory for all UK businesses that employ one or more workers to automatically enrol certain employees into a workplace pension scheme and make contributions towards it.

Preparing for automatic enrolment

Employers will be assigned a Staging Date from the Pensions Regulator and will need to begin enrolling staff on this date. This date will be included on correspondence from The Pensions Regulator concerning Pensions Auto Enrolment and can also be found by entering a PAYE reference into a tool on their website – www.tpr.gov.uk/stagingdate.

The key points for employers to follow includes:

Before Staging

12 to 9 months before staging – Employers need to:

  • Know when they need to be ready.
  • Provide a point of contact.
  • Develop their initial plans – An easy to use downloadable Automatic Enrolment Planner is available for employer’s use on the Pensions Regulator website. Access the planner by selecting this link tpr.gov.uk/planner.

9 to 0 months before staging – Employers need to:

  • Ascertain which employees have to be automatically enrolled.
  • Find out which employees are eligible to join the scheme.
  • Check their staff and payroll records are accurate and up to date.
  • Select and test the appropriate software in advance to ensure it works.
  • Choose a pension scheme.

Staging

Staging Date – Employers will need to:

  • Automatically enrol their staff.
  • Send the appropriate information to the scheme provider.
  • Pay the contributions to the pension scheme before the set deadline.

After staging

Up to 6 weeks after the staging date – Employers need to tell their employees about how they will be affected by automatic enrolment.

Up to 5 months after the staging date – Employers need to complete their declaration of compliance (registration).

Continuing duties – Employers should maintain their records accurately and fulfill all ongoing responsibilities.
